PC Purchase-Replacement
The following section describes the process of purchasing, and/or upgrading PCs, and/or PC peripherals, such as printers or scanners.
When purchasing or replacing a PC, a peripheral device, or any other IT equipment, the faculty Dean of the requesting department, or the Director of the requesting department, should submit their requests via e-mail or memorandum, addressed to the Director of ITS requesting this equipment. The ITS department has developed a “purchase request form” that must be attached to these requests. The following are the conditions that prompt a department to request IT equipment.
- When a new employee is hired, and their job requires the use of PC equipment, they are normally entitled for new IT equipment. In the event that the new employee’s position doesn’t require the use of a brand new PC, it is possible to give them their immediate supervisor’s PC, and in that case, a new PC may be purchased for their supervisor.
- When an employee can no longer use their PC to perform their day-to-day responsibilities effectively and efficiently.
- For example, if HU requires an employee to use a new information system, and that system requires more memory or storage than the employee’s current PC has or can be upgraded to, then that employee is eligible to purchase a new PC.
- Also, if an employee’s PC is at least 5 years old, is no longer supported by a warranty or support agreement, and is running extremely slowly, then the employee is also entitled to purchase a new PC.
- When an employee’s current PC needs repair, and it’s no longer under warranty or support, and the costs to repair it are equal to or outweigh purchasing a new PC, then they are entitled for a new PC.
- When an employee receives a new PC, their older PC should be given to an approved HU charity.
- The above policies also apply to PC peripherals, such as: printers, computer monitors, and LCDs, storage devices, and other such PC equipment.
